Important: Many MapIQ customers use MapIQ to manage deliveries, collections, routes, and customer communications. In those cases, the Customer (your employer or the company you buy from) may be the primary “data controller,” and MapIQ acts as a “processor/service provider” on their behalf.

2) Information We Collect

We collect information in three main ways: (a) information you provide, (b) information collected automatically, and (c) information from third parties/integrations.

2.1 Information You Provide

Depending on your role (Admin, Agent, dispatcher, driver, collector, customer portal user), you may provide:

  • Account information: name, email, phone, username, password (stored as a secure hash), role/permissions.
  • Company/organization info: company name, billing details, tax identifiers (where applicable), service address.
  • Operational data: customers, orders, invoices, deliveries, collections, product lists, notes, photos (if enabled), signatures (if enabled).
  • Communications: support requests, emails, chat messages, and feedback you send us.

2.2 Information Collected Automatically

When you use the Service, we may automatically collect:

  • Device and app data: device type, OS, app version, identifiers, language, time zone, crash logs.
  • Usage data: pages/screens viewed, features used, clicks, actions taken, timestamps, performance metrics.
  • Approximate location (website): based on IP address for security and fraud prevention.

2.3 Location Data (Mobile App)

If your organization enables location features and you grant device permissions, MapIQ may collect:

  • Precise location data (GPS) during active use to support route tracking, check-ins, proof-of-visit, and ETA/route analytics.
  • Background location data only if your organization enables it and you grant permission, to support live tracking during routes.

You can disable location permissions in your device settings, but some features may not work.

2.4 Information From Third Parties

We may receive information from:

  • Payment processors (e.g., tokenized payment details, payment status; we generally do not store full card numbers).
  • Mapping providers (geocoding and route/ETA outputs).
  • Integrations you enable (e.g., ERP/CRM systems, email/SMS/WhatsApp providers, identity providers like Google/Microsoft).

3) How We Use Information

We use information to:

  • Provide and operate the Service (accounts, routing, dispatching, proof-of-delivery, collections, customer portal).
  • Improve performance and reliability (debugging, analytics, feature development).
  • Secure the Service (fraud detection, abuse prevention, access controls, audits).
  • Process payments and manage billing.
  • Send service communications (password resets, security alerts, system notifications, onboarding).
  • Provide customer support and respond to requests.
  • Comply with legal obligations and enforce our Terms.
We may use aggregated and de-identified data to understand usage trends and improve MapIQ.  

4) Legal Bases (EEA/UK and Similar Jurisdictions)

If you are in the EEA/UK (or similar jurisdictions), we process personal data under these legal bases:

  • Contract: to provide the Service.
  • Legitimate interests: to secure and improve the Service, prevent fraud, and support customers (balanced against your rights).
  • Consent: for certain features like precise location, marketing emails (where required), or optional cookies.
  • Legal obligation: to comply with law, tax, accounting, and regulatory requirements.

5) How We Share Information

We do not sell your personal information. We share information only as described below:

5.1 With the Customer (Your Organization)

If you are an Authorized User (employee/contractor), your account and activity data may be visible to your organization’s Admins according to their settings (e.g., route performance, check-ins, notes, customer interactions, and if enabled location tracking).

5.2 Service Providers (Processors)

We use trusted vendors to help operate the Service, such as hosting, analytics, customer support tools, payment processing, messaging providers, and mapping services. They may process information on our behalf under contractual confidentiality and security obligations.

5.3 Integrations You Enable

If you connect MapIQ to third-party tools, we may share data necessary to operate those integrations.

5.4 Legal and Safety

We may disclose information if we believe disclosure is required to:

  • Comply with law, subpoena, or legal process
  • Protect rights, safety, and security of MapIQ, our customers, or others
  • Investigate fraud or security incidents
  • Enforce our Terms

5.5 Business Transfers

If MapIQ is involved in a merger, acquisition, financing, or sale of assets, information may be transferred as part of that transaction, subject to appropriate protections.

6) Cookies and Tracking Technologies

We use cookies and similar technologies to:

  • Keep you signed in and maintain session security
  • Remember preferences
  • Understand usage and improve the Service
  • Measure marketing performance (only where enabled/allowed)

You can control cookies through your browser settings. Some cookies are required for the Service to function.

Optional: Add a cookie banner/consent tool if you operate in jurisdictions that require it.

7) Data Retention

We retain personal data only as long as necessary to provide the Service, comply with legal obligations, resolve disputes, and enforce agreements.

Retention depends on your role and your organization’s settings/contract. After account termination, we may retain data for a limited period and then delete or de-identify it, unless legally required to keep it longer.

8) Security

We use reasonable administrative, technical, and organizational safeguards designed to protect information. No system is completely secure; please use strong passwords and protect your devices.

9) Your Rights and Choices

9.1 Account Information

You can update certain account details within the app/portal. Organization Admins may manage user profiles and permissions.

9.2 Marketing Communications

You can opt out of marketing emails by using the unsubscribe link. We may still send important service notices.

9.3 Location Controls

You can enable/disable location permissions in your device settings. If your organization requires location tracking for operational reasons, contact your organization for policy details.

9.4 Data Subject Rights (Depending on Where You Live)

You may have rights such as:

  1. Access to your personal data
  2. Correction of inaccurate data
  3. Deletion (where applicable)
  4. Objection or restriction to certain processing
  5. Data portability
  6. Withdraw consent (where processing is based on consent)

If your data is controlled by a MapIQ Customer (your employer/vendor), you should direct requests to that Customer first. We will assist Customers in fulfilling applicable requests.

10) International Data Transfers

MapIQ may process data in countries other than where you live. Where required, we use appropriate safeguards for international transfers (e.g., contractual protections).

11) Children’s Privacy

The Service is not directed to children under 13 (or the minimum age required in your jurisdiction). We do not knowingly collect personal data from children.

12) Customer Responsibilities

Customers are responsible for:

  • Providing appropriate notices to their employees/contractors about monitoring and location tracking
  • Obtaining any necessary consents for customer communications and payments
  • Ensuring their use of the Service complies with applicable privacy, labor, and consumer laws

13) Changes to This Privacy Policy

We may update this Privacy Policy from time to time. If changes are material, we will provide notice (e.g., via the Service or email). Continued use of the Service after the effective date means you accept the updated policy.
